The application process
Here you can access the accommodation application form, see step-by-step details of applying for postgraduate University-allocated accommodation and see what you need to do when you are offered a room. Please ensure that you have read the Tenancy Conditions and Local Rules available from your residence website before applying for accommodation.
1. Apply for accommodation - now open
Applications for postgraduate University-allocated accommodation for the 2018/19 year are now open.
You should apply as soon as you have firmly accepted your offer of a conditional or unconditional place on a course and your department has recorded your acceptance. The application will remain open until October. The deadline for meeting the accommodation guarantee is 30 June 2018. You can still apply after this date, however, we can't guarantee you an offer of accommodation.
When making your application it is essential that we have your personal email address so that we can ensure you receive your offer. Please do not use an agents email address. You should also add our email address to your 'safe list' so your offer email does not get sent to your junk folder.
If you have someone you would like to share a room with you should put their name and student number in the notes section of your application, and they should do the same. Please note we cannot guarantee to meet your sharing preferences.
You will need the following information to access the form:
- University of Bristol student number as given on your offer letter within the online application system (not the applicant ID),
- last name,
- date of birth.
Problems logging into the application system?
Please check that you:
- are using your student number (found on your offer letter) and not your applicant ID;
- have accepted your postgraduate offer of study a day before or earlier. The University's student records system is updated overnight so if you have accepted your offer of study today, try again tomorrow.
You don't need to have paid your course deposit to be able to access the online application form. However, you won't receive your Confirmation of Acceptance for Study until you have paid your course deposit.
2. Accommodation allocations made
All allocations to University and partnership residences will be governed by the University of Bristol's Equality and Diversity Policy which states:
No individual will be unjustifiably discriminated against. This includes, but not exclusively, on the basis of gender, race, nationality, ethnic or national origin, religious or political beliefs, disability, marital status, social background, family circumstance, sexual orientation, gender reassignment, spent criminal convictions, age or for any other reason.
All allocations of postgraduate accommodation will be made by the Accommodation Office. Priority will be given to postgraduates who have special housing needs for reasons of ill-health or disability.
We try to place students in their first choice residence. Students with special requirements because of health problems or disabilities are allocated first. . Your preferences will be used as a guide and cannot be guaranteed. If your preferred residence is full we will try to offer you a similar alternative.
We consider all information given on the application form including the stated room preference and any additional information provided. The Accommodation Office allocates spaces fairly and without bias. Our aim is to create a balanced and diverse community. When allocating rooms in flats and residences we consider the following areas:
- gender balance,
- nationality/cultural balance (at times it may be necessary to allocate rooms in single nationality flats, see our what to expect page for more details).
Postgraduates who are unhappy with their allocation are given the opportunity to join the postgraduate waiting and transfer list after their tenancy has started.
3. Accommodation offers made
If you are not attending a pre-sessional language course at the University of Bristol you will receive your accommodation offer from 19 June 2018 or within 2 weeks of submitting your application if this is after 19 June.
If you are attending a pre-sessional language course at the University of Bristol you will receive your accommodation offer from 19 July 2018 or within 2 weeks of submitting your application if this is after 19 July.
We email non-guaranteed applicants in early August with an update on the availability of University-allocated accommodation. If rooms are still available, accommodation offers will be emailed to students who have an unconditional place to study at Bristol.
Making you an offer
You'll receive an email with your accommodation offer - you must accept the offer within the deadline. You'll also need to pay a reservation fee to accept your offer. Your accommodation offer email normally contains the following information:
- Name and address of residence
- Type of room allocated
- Accommodation fees and instalment information
- Tenancy dates
- Student residence conditions
Room numbers - Your offer email may not specify your room number, instead your room number will be confirmed on arrival to your residence. Please note, any address forms requested by the University can be completed and returned without room information.
We will only make one offer of accommodation. All offers will be made by email, therefore it is essential that we have your personal email address. You should also add our email address to your 'safe list' so your offer email does not get sent to your junk folder. An offer is not deemed to have been made until our offer email has been sent to you.
We cannot guarantee to offer you your preferred choice of accommodation, but if we cannot meet your preference, we will guarantee to offer you an alternative. If your offer is not for your first preference residence, it is likely to be because this residence is already full.
4. Queries about your offer
If you are unhappy with your offer you have the following options:
- You can accept the offer and join the transfer list which opens after the start of term. Please see our changes and transfers information below.
- Alternatively you can decline the offer but you will not be guaranteed another.
If you are guaranteed an offer of accommodation and you decline it, your application will be processed along with the applications from non-guaranteed applicants. Please be aware that you could be left without accommodation if we have more applications than rooms available.
Can I change, transfer or cancel my offer?
It is not possible to change your offer or move you to another residence at this stage. You must not transfer your offer to another student yourself, as this could mean you are charged for two amounts of fees. We recommend you accept your accommodation offer so that you are guaranteed somewhere to live.
Once you move in to your residence you can then join our transfer waiting list, which opens after the first two weeks of term. Details about moving between residences can be found on our current postgraduate students page.
Cancellations and the return of your reservation fee
If you decide to cancel your room after you have paid your reservation fee you have certain rights regarding the return of your fee. Please make sure you understand these options by reading our reservation and cancellations page.
5. Accepting your offer
Please read the documents included in your offer email carefully. You will need to accept or decline the offer by the given deadline, which is usually seven days after your offer is made. After this time your offer will be withdrawn.
You accept your offer online and pay a reservation fee or deposit. Please note, to make payment you will need a credit or debit card with a 3 digit security code on the reverse.
If you have problems accessing or responding to your offer please email firstname.lastname@example.org.
If you do not accept your offer we cannot guarantee to make you another one. We recommend that you accept the offer so that you are guaranteed somewhere to live.
6. Before you move in
After you accept an accommodation offer and pay a reservation fee, it's time to start thinking about moving into your room. All new students are required to complete our online e-induction before moving into University-allocated accommodation. Read our arrivals page for more information.
Change in circumstances
Please contact us immediately to let us know of any changes in your plans. Include your name and student number. Tell us if you decide:
- to look for private accommodation,
- that your partner or family will/will not join you in Bristol,
- not to attend the University of Bristol,
- to change the date when your studies will start.
Parents and relatives
We appreciate parents and other relatives of students will be concerned about welfare. We are always happy to answer general enquiries. However, in the interests of protecting privacy and compliance with the Data Protection Act, we are unable to discuss individual students without their permission.
