Questionmark: Information for administrators

The following information is for staff responsible for the administration of users and assessments on Questionmark Perception.  Administration follows an annual lifecycle which includes a three phases which are Start, During and End of the academic year.

Start of the academic year

Importing Participants (Students)

Following are brief instructions on how to import participants who will be using the system this year. Full instructions can be found in the Enterprise Manager guide that you received at your training session. 

Participants can be enrolled either on an individual basis or batch enrolled. To batch enrol participants, download the import_template.xls, complete the fields and upload it to Enterprise Manager. Following is a description of the fields you need to complete:

'id' - student UoB username, this is required to allow students to use their UoB credentials to log onto the system

'Details' - academic year in which participants are using the system (e.g. 2011-12). This is IMPORTANT because wihtout it it is very difficult so see when they can be deleted from the system

'Password' - leave this blank but make sure to tick the option 'generate password randomly' when you import the file into Enterprise Manager so that participants also have a guest access password in case their UoB password doesn't work

'First name' - participant's first name

'Second name' - participant's second name

'Email address' - participant's UoB email address

Note: If after the uploading the importtemplate.xls you are getting a screen with a list of names marked by a ** it means that the participant is already on the system, you will need to search for those users in the participants area and add them to your group.

Naming Groups and Schedules

We remind you that when setting up new groups and  schedules several special characters are considered illegal and cannot be used. For example, you cannot use comma characters ( , ) or double quotation characters ( " ) in names as they have special meaning. Such characters will throw up an 'invalid character' error message.

During the academic year

Communicate critical assessment dates

Email all your critical assessment dates to e-learning@bristol.ac.uk so that we can help ensure the system will be available. The ESU Information Officer enters these dates into a dedicated Oracle Calendar account  (r:edsu-questionmark) which is checked by support staff prior to carrying out maintenance and upgrades which sometimes requires downtime.

End of academic Year

Deleting participants

Because our current license limits us to a maximum of 5000 active participants enrolled on the system at any one time, we ask you to delete any participants that you know no longer need to use it. Note that deleting participants does not automatically delete results, you will still be able to run reports on participants who have been deleted from the system.
