Overview

A new Salary Forecasting Tool has been developed to link in with the establishment reporting process that the University has been developing in order to report and actively manage staffing.

Primarily the new tool takes data at school level for faculties and departmental level for Support Services from PIMS and then costs both filled and unfilled establishment posts plus non-establishment posts charged to core funding, to give an initial overview of full salary costs for the current and future three years.  The Faculty Finance Teams have been reviewing the data and, where appropriate, making adjustments using the adjustment tool developed for this task.

Report Summary

To run the report select 'Run Report' or login here.  Login is by the University’s Single Sign-on.  This will take you to the Report Summary where you will see the data for the Faculty/Division/School etc..for which you have access to.

 

 

All Establishment Posts

Regardless of funding source except those charged to EL2s prefixed with JL, which are excluded from Salary Forecasting altogether.

Core

This section is a sub-set of All Establishment Posts and shows those establishment posts that are charged to an EL2 with the prefix HF, HR or HT (core-funded).

Non-Core

This section is the second sub-set of All Establishment Posts and shows the remainder of establishment posts that are charged to non-core-funded EL2 codes.

Non-Establishment Posts

The fourth section shows non-establishment posts charged on PIMS to core funded EL2 codes.

 

Column Headings

Across the page there are columns for the current year (2012-13) and the next three years, which contain:

FTE - The total FTE as at 1st February;

Appt - The total employment cost (including salary, employers’ NI and employers’ pension contributions calculated assuming staff are not members of the Pension-Salary Exchange scheme) to the nearest thousand pounds;

Vac - A vacancy adjustment based on your establishment FTE which is calculated on the 4th increment point;

Adj - Adjustment – other adjustments input by your Faculty Finance Team, due to a number of reasons such as maternity changes, pension-salary exchange etc.

Total - The total employment cost for that year, being the total of Appt, Vac and Adj.

 

Navigation

The data are held hierarchically summing up from the lowest level.   In order to ensure we have costed data at the lowest level for budgeting there maybe some double clicking into the same areas where that area does not have a lower level.  For example, below QUEN is AERO, CIVE and MECH at the 4th level but Chemistry, which is identified at the 3rd level, will remain Chemistry at the 4th level.   The levels are:

1st Level

2nd Level Faculty Support Services
3rd Level School (e.g. CHEM or QUEN) Budget Group (e.g. Estates)
4th Level School/Dept (e.g. CHEM or CIVE) Business Unit (e.g. Capital Projects)
5th Level

Job family

 

To drill down click on the Budget Unit.  At any level below the top level, you can go up one level by clicking on against the budget units on the left hand side.  To see more detail select 'more detail' to the right of the report.  This will open a report in a new tab.

Detail Report

This report has separate worksheet for the Establishment posts, Core Establishment posts, Non-Core Establishment posts, Adjustments, Detail by EL2 and Non-Establishment Posts.

On each tab, except the Adjustments tab, the details of each post is listed separately with the appointment details below the post heading. The appointment detail will include both appointments and vacancies associated with the post.  Any adjustment for a post will be listed on the post header line.  The detail of these adjustments can be found within the Adjustment tab. General adjustments that are not specific to a post are recorded at the bottom of each job family.  The layout of these reports is shown below:

Issues to note

Leadership and Management Allowances are costed automatically to the end of the current incumbent’s appointment.  Your Faculty Finance Team will have added an adjustment to extend the allowance to the end of the forecast period.

The Salary Forecast Reports should not be printed directly from business Objects.  Instead, they should be saved into Excel on your computer and then formatted for printing before printing them out.
