Using Pure for Open Access compliance

The institutional policy for Open Access applies from 1st October 2015. This policy is in response to new requirements from the UK government and research funders and will ensure that publications are compliant for the next REF.

Using Pure for Open Access compliance

Pure, the University's research information system and institutional repository, will enable you to comply with the policy on Open Access. To ensure compliance you will need to create a basic record in Pure of your recently accepted article (or conference proceeding with an ISSN) and upload the author accepted manuscript. This is required to be actioned within three months from the date of acceptance.

How to create a record for an author accepted manuscript in Pure (PDF, 333kB)

A summary of the process is supplied below:

    1. Login to Pure.
    2. Select the green Add new button.
    3. Select the Article template (this template should also be used for conference proceedings with an ISSN).
    4. Complete the mandatory fields that are marked with a red asterisk* and add a relation to a project (if there is one). See our detailed guidance about this process.
    5. Upload the author accepted manuscript (saved as a pdf file).
    6. Save the record.
    7. Forward the acceptance email from the publisher to Please add the Pure id of the publication record to the email subject.

What happens next?

The document is not instantly publicly visible - it goes to a "holding area" in the system until it has been checked by the Library Open Access Team. The library will investigate the publisher copyright of the publication and ensure that public posting is permitted. Embargo periods are applied to the document where required. Once the article is published, the library will import the full publication details from an online source (e.g. Scopus) and merge the full and basic records in Pure. This will result in one complete and discoverable Pure record (including metrics from Scopus where possible).

Outputs with a large number of authors

When adding an output to Pure the general practice is to include all co-authors on the output record.  However, this may be time-consuming when adding outputs that have a large number of co-authors. For these outputs we ask that (at least) the lead author and all the Bristol authors are added to the record. Adding all Bristol authors will save your colleagues time and will reduce the likelihood of duplicate records being created in Pure.

Using an existing output record as a template

If you always publish with the same group of people, it might be quicker to copy a previous output to use as the basis of the new output that you are uploading, rather than starting with an empty record.  To copy an output in Pure, click on the copy icon at the bottom right of the record. This creates a new output, which can be edited with the new output information. Don't forget to select 'Save' once you have finished.

Sourcing the correct manuscript

It can sometimes be difficult for co-authors who publish in large groups to source the correct version of the full text (the Author Accepted Manuscript, AAM) to upload to Pure. If you need to upload your full-text article to Pure but are struggling to get a copy of the AAM, please contact the Open Access team for help.
