Information for reviewees
It is the joint responsibility of the reviewee and their reviewer to ensure that the meeting takes place in a timely, meaningful and constructive way. A review meeting should be expected to take about 90 minutes.
Before your review meeting:
Take the time to prepare well for your review meeting. This is your opportunity to reflect upon and discuss your achievements and ongoing development with your reviewer.
1. Before your review meeting, you must complete a draft of your review form in MyReview (see guidance below). You can add or edit content as much as you like, just remember to 'Save and Close' your work at the end of an editing session.
2. Once you are ready to share your draft form with your reviewer, press 'Share and Close'. Make sure you do this a few days before the meeting to give them time to prepare for the conversation. If you have no reviewer assigned, email us for help.
3. Ensure you have completed the other Essential Training housed in MyReview – Safety & Health, Information Security and Equality & Diversity. This must be completed annually. If you don't have access to MyReview (e.g. honorary staff), you can complete the Essential Training here.
How to fill in your review form:
There are two parts to your review form - Taking Stock of your performance in the previous year and Planning Ahead your objectives for the coming year. Professional Services staff will also need to complete a short section on Professional Behaviours.
When reflecting on the past year, think about your successes and challenges and what you learnt from them. Cite any evidence you have. Take into account the following:
- Progress against your personal and professional objectives from last year’s review, the forms for which should be held in MyReview
- If this is your first review, look back over your job description and general roles and responsibilities
- Discussions you have previously had in 1:1 meetings with your line manager
- Feedback from other people such as colleagues, students, internal / external clients
- UoB’s Professional Behaviours framework – Professional Services staff are required to self-rate against the behaviours
- Peer observation of your teaching
- Reports on research, projects and other activities
When setting objectives for the coming year, consider:
- what you intend to achieve, personally and professionally
- what obstacles you might face in working towards these goals
- how you might grow or stretch your role
- what training or development you might need now or longer term
Ensure that your stated objectives are SMART: Specific, Measurable, Achievable, Relevant and Time-bound.
At the review meeting:
The SR&D conversation should be an open, two-way discussion with your reviewer. The conversation may be guided by your draft self-assessment form, but is not limited to it.
1. Looking back
The reviewer will provide feedback on how far you have contributed towards the achievement of the objectives set the previous year, and both parties will reflect on the reasons for success and any shortfalls. The SR&D conversation should take an “evidence-based” approach to discussions.
2. Setting future objectives
A key output from the process will be clear and attainable objectives for you, that link to school/divisional/faculty/organisational goals and that provide a degree of 'stretch'. The discussion may also cover matters such as eligibility for progression/promotion, career aspirations, training and development needs and overcoming barriers to performance. Both parties should be open about reservations or perceived development needs to enable your reviewer to provide relevant support.
3. Outcomes and actions
Your achievements, training and development needs and objectives need to be agreed at the review meeting, then recorded in the relevant section of the MyReview form. This 'formal' record is used as a starting point for the preparation stage of your next review in a year's time. Your reviewer will also collate any common themes or outcomes at a group level and feed these back to the departmental head for team action planning.
After the meeting:
You and your reviewer must ensure your review form is completed and finalised in MyReview.
1. Complete the ‘Outcomes’ section at the end of the form that records the things you have agreed to do and by when so that they are not lost. Press 'Share and Finalise' to share with your reviewer - they can then add their summary to the reviewer's actions on the Outcomes tab, then 'Share and Finalise' the form with you.
2. At this stage, you will be able to view your reviewers comments and either accept or decline them (i.e. if there is any dispute). When you finalised the form, the form is then locked and stored for reference.
3. If you have selected a senior manager in MyReview, the form will then be shared with them. They will have the opportunity to add in any additional comments.

More than one role at UoB?
