Contractor parking

NOTICE TO ALL UNIVERSITY PARKING PERMIT HOLDERS (EXCEPT DEPARTMENTAL)

Please note that if you have more than one vehicle registered on your University parking permit, you MUST ensure that the correct vehicle is active on your permit BEFORE parking on campus.

To switch the active vehicle on your permit, log on to your online parking account, select ‘history’ on the home page and click on the green vehicle icon against your permit. Access the parking permit system here.

Failure to ensure the vehicle you wish to park on campus is both registered and active on your permit may result in enforcement action. For further information please see our parking terms and conditions

The University recognises the importance of providing for vehicle use by contractors where this is essential for undertaking their work.

Any contractor may apply for permits to use General car parks on the University precinct and satellite sites while working on behalf of the University. Contractor parking permits will be issued only upon confirmation from an appropriate University sponsor of the type of work and contract duration.

A maximum of six permits per year will be provided to each contractor, including any for use by its subsidiary companies, subcontractors and suppliers. Contractors requiring car parking at any University Residences, at Langford or Coombe Dingle should refer to the separate car park policies for these sites.

How to apply for a permit

Contractors may apply for parking permits at any time of year from April 2018 using the University’s online permit management system.

Permits will be allocated for the University permit year only, i.e. up until July 31st. Contractors with contracts extending beyond this date must reapply in advance for the appropriate permit(s) for the following year. Applications are accepted only from main contractors, who must apply on behalf of any subsidiary companies, subcontractors or suppliers engaged on the same contract(s).

A nominated administrator should first register for an account on the permit management system before applying for one or more permits by completing the online questionnaire and uploading the documents required. 

Additional applications can be made on the same account for up to a maximum of six permits in any one year. Each permit may be used by up to 20 vehicles, but only one vehicle can use the permit at a time.

Contractor parking applications must be supported by a sponsor form completed by the University department responsible for the appropriate contract(s). The sponsoring department will be required to confirm the contractor’s requirement for car parking and (if no contract number is available) the duration and expected completion date of the works.

Prior to submitting an application, contractors should note that all permit-holders, including subsidiary companies, subcontractors and suppliers, must abide by the University’s Parking Terms and Conditions.

Using your contractor parking permit

From 2018/19 onward, all University contractor parking permits will be virtual. Hard copy permits issued for 2017/18 will no longer be valid after 7th September 2018.

You can register up to 20 vehicles against each contractor parking permit. However only one registered vehicle can use the permit at a time, so if you have more than one vehicle registered to your permit you must ensure that the one you wish to park at the University is activated on your permit beforehand.

You can switch the active vehicle on your permit, and/or update the details of your registered vehicles at any time via the online permit system, by selecting ‘history’ on the home page and clicking on green vehicle icon against the relevant permit.

In order to park in a University car park, contractor permit-holders must display a valid parking coupon in their vehicle. Coupons must be purchased in advance via the online system and collected from Security Services at Royal Fort Lodge.

Together with a valid parking coupon, contractor parking permits entitle the holder to park in the University’s General car parks only, which can be found in the University car park list (PDF, 47kB). Contractors are not permitted to park in dedicated Departmental, Disabled or Visitor parking spaces.
