Linnaeus Study Room

Formerly a coach house, this prestigious venue offers a superb facility for a variety of events and is idyllically situated adjacent to the the University’s Botanic Garden.

The Linnaeus Study Room offers a fully operational, state of the art, teaching and learning facility in a pleasant and calm environment located adjacent to the halls of residence and bordered by Bristol’s historic Durdham Down.

The space is offered for courses, seminars, meetings, exhibitions, ‘away days’, training, conferences, and other events – as the room layout can be tailored to individual requirements. Room hire includes the use of contemporary presentation equipment comprising of an interactive whiteboard, DVD/Video and data projector. Also available, on request, is a large whiteboard, flipchart, drop down screen and overhead projector.

Room Hire

Toilets are provided on site, close to the room. The Linnaeus study room and toilet facilities both have wheelchair access.

The room is accessible via The Holmes car park, however, please be advised that parking is limited. Additional roadside parking is available on Saville Road, close to Durdham Down or Stoke Park Road.

Bristol City Council have placed parking restrictions on Saville Road but this allows 5 hours parking, Monday to Friday 9.00 am to 5.00 pm.

Catering

The room contains a water machine (free dispensing) and a hot drinks machine (35p per cup).   rinks may be obtained from a vending machine in the room. Alternatively, the Hawthorns (University of Bristol catering) deliver to the site and can provide all your catering requirements when booked directly with them in advance.

 Booking

The availability of the room can be checked through the External Estates Office. Tel: 0117 4282409 or email nicolette.smith@bristol.ac.uk

Once the room has been identified as available a booking form, terms and conditions and a risk assessment will be sent to the organiser.  Generally the terms are as follows:

1.1      All forms must be submitted with a non-refundable deposit (cheque made payable to University of Bristol). 
1.2      Bookings can only be confirmed once authorisation has been given and payment received.
1.3      All event organisers must be made known on the booking form and provide contact details.
1.4      The organiser must stipulate when booking any additional service requirements (Health & Safety, Porters, Security etc).
1.5      Any dignitaries/guest speakers need to be advised to the External Estates and University Communications Office.  
1.6      All events must be kept to the agreed timescales.
1.7      Provide a copy of all invitations/publicity literature to External Estates  prior to the event booking.
1.8      If the event attracts unwanted attention External Estates should be advised.
1.9      The Hirer shall ensure that numbers attending does not exceed the specified limits for the room.
1.10    The room should not be used for unlawful purposes/events/activities as this will be reported to the authorities.
1.11    If a tour of the Botanic Garden is requested the minimum group size  is 10 persons.

Deposit, Confirmation and Cancellation

2.1           A non-refundable deposit is required in order to confirm an external booking
2.2           Cancellation of a booking in full or in part may incur charges depending on the amount of notice given.   

Personal Property

External Estates shall not in any circumstances be liable for damage to or loss of any property, articles or things placed or left upon the premises by the Hirer or by persons attending the event, however such loss or damage may be caused.

Damage and Loss

External Estates shall at its total discretion charge the Hirer for the repair or restoration of all and any damage or loss,  whether wilful or accidental, to the building structure, articles and equipment, furniture and fittings during the hire period caused by the Hirer, customer or sub-contractor, with such work being completed by a contractor appointed by External Estates.

Restrictions

Smoking - It is the responsibility of the Hirer to ensure that all those attending respect 'no smoking' for the whole site which includes E-Cigarettes.

Dogs - No pets, save for guide dogs for guests with special needs, are permitted on the site.

Alcohol - No wine or spirits may be brought onto the premises by the Hirer or persons attending for consumption on the premises unless prior written consent from External Estates is obtained. There is no licence for the sale of alcohol on the premises.

Force Majeure - Every effort will be made by External Estates to carry out its part of the contract, but its due performance is subject to cancellation or variation as a result of its inability to secure labour, materials or supplies; or as a result of any act of God, war, strike, lock-out or other labour dispute, fire, flood, drought, legislation or other class (whether of the foregoing class or not) beyond External Estates’ control.
